REGULATION SECTIONS

Find the reporting requirements in a regulation and see exactly what to file

Reporting requirements tell a covered organization what information it must send to a regulator, when, in what form and under whose signature. They are often split between a reporting section, the definitions and an appendix that lists the content. Ask Search+ "What must we report under this regulation, and how often?" and the answer cites each piece so you can read the full requirement.

How to find reporting requirements with Search+

  1. Upload the regulation with its forms and instructions

Reporting duties often rely on a form, a template or instructions published separately. Add those to the workspace with the regulation, including any reporting template issued as an Excel file, so an answer can draw on the requirement and the instructions together.

  2. Ask about each report on its own

Ask about recurring reports, reports triggered by an event and reports made on request as separate questions. Each usually has its own content, timing and recipient.

  3. Trace thresholds and definitions

A duty to report often applies only above a threshold or to a defined type of event. Open the citation, then ask how the threshold or event is defined so you can read the condition that switches the duty on.

Questions to ask about reporting

Content

What information must a covered entity include in the annual report this regulation requires?

Thresholds

Is there a threshold below which reporting is not required, and how is it measured?

Triggered reports

Which events require a report to the regulator, and how soon after the event must it be filed?

Recipient and method

To whom must reports be submitted, and does the regulation specify a format or method?

Certification

Does a report need to be signed or certified by an officer, and what does the certification say?

Supporting records

What records must be kept to support the reports, and for how long?

What to look for in reporting requirements

Who must report

Reporting duties may fall on every covered entity, only on those above a size or activity threshold, or on a named role within the organization. Read the scope of the reporting section, not only the scope of the whole rule.

Content of the report

The required content can be listed in the section itself, in an appendix or in the instructions for a form. Ask what each report must contain and follow any reference to an appendix.

Timing

Reports can be periodic, tied to an event or due on request. Ask when each report is due and what date or event the period is counted from.

Certification and records

Some rules require an officer to certify a report, or require supporting records to be kept for a period. These duties sit next to the reporting duty and are easy to miss.

Corrections

Many reporting provisions say what to do when a filed report turns out to be wrong. Ask whether the rule requires a corrected or amended report and on what timeline.

Requirements cited to the text

Ask across the regulation and its forms together, or narrow a question to one document; each answer cites the excerpt it relies on so you can read the duty in full.

Reporting wording and what to ask

Wording you may seeWhat it usually signalsA follow-up question
"shall submit" or "shall file"A mandatory reporting dutyWhat exactly must be submitted, and to whom?
"annually" or "on a quarterly basis"A periodic reportWhat period does each report cover, and when is it due?
"within ... of becoming aware"A report triggered by discovering an eventHow does the rule define becoming aware?
"in the form prescribed"A required format or form set out elsewhereWhere is the form or format described?
"certify" or "attest"A personal statement that the report is accurateWho must sign, and what are they confirming?
"retain for"A recordkeeping duty linked to reportingWhich records must be kept, and for how long?

What is a reporting requirement?

A reporting requirement is a duty in a regulation to give specified information to a regulator or another named body, at a set time or after a set event, often in a prescribed form.

A recordkeeping requirement is related but different: it obliges an organization to create and keep records, which a regulator may inspect, without necessarily sending them anywhere. Many rules impose both.

Reporting requirement questions

Can Search+ tell me everything I need to put in a report?
It can find and cite the parts of the regulation, and of any instructions you upload, that describe the required content. Ask about each element in turn, then check the cited list against the official form or instructions before you file.
What if the reporting details are in a separate form?
Upload the form and its instructions to the same workspace, as PDFs, Word documents or the Excel template the regulator issued. Then ask what the regulation requires and what the instructions add, and the answer cites each document separately.
How do I find reports that are triggered by events?
Ask which events require notice to the regulator. These duties are often written outside the main reporting section, for example in sections on incidents, changes of ownership or material changes, and a direct question brings them out with citations.
Will it catch reporting thresholds?
Ask directly whether any threshold applies and how it is measured. The answer cites the threshold wording; read it with its definitions, because a threshold measured one way can be met while one measured another way is not.
Can I come back to the regulation before each filing?
Yes. The workspace keeps the regulation and your earlier conversations, so you can reopen the thread ahead of each filing and ask follow-up questions.
Does Search+ file reports or confirm mine are compliant?
No. Search+ helps you read what the regulation requires; it does not prepare or submit filings, and it is not compliance advice. Have your compliance or legal team review a report before it goes to a regulator.
