MEETING MINUTES DETAILS

Find the open issues your meeting minutes never closed

Open issues are the questions a meeting raised but did not settle: items deferred, problems waiting on information, concerns parked for another day. They are easy to lose because the minutes that close them, if any, come weeks later. Ask Search+ "Which issues were raised in these minutes and never resolved?" and the answer cites where each was raised and anything later minutes say about it.

How to find open issues with Search+

  1. Upload a continuous run of minutes

An issue can only be shown as unresolved if the later meetings are there too. Add every set of minutes from when the issue might have been raised to the most recent meeting, with dates in the file names.

  2. Ask where issues were parked

Ask separately about items deferred to a later meeting, questions waiting on information from outside the meeting, and risks or concerns logged without an action. Each is recorded in a different way.

  3. Follow each issue forward

Open the citation where an issue first appears, then ask what later minutes say about it. If nothing does, you have found a candidate open issue to raise at the next meeting.

Questions to ask about open issues

Unresolved

Which issues raised in the first half of the year have no recorded resolution in later minutes?

Waiting on information

Which items were deferred pending a report, a quote or advice, and did that information ever come back?

Parked items

List the items parked or held over, the meeting where each was parked and any reason given.

Issues log

Do the minutes refer to an issues or risk log, and which entries do they mention?

Repeated deferral

Which items have been deferred more than once?

Next agenda

Based on these minutes, which open issues could be added to the next agenda?

What to look for in open issues

Deferred items

Items marked deferred, held over or carried forward were not decided. Check whether each has a target meeting and whether that meeting dealt with it.

Dependencies outside the meeting

Many issues stay open because the group is waiting for something: a quote, legal advice, data or another committee's view. The minutes usually say what was needed, if not when it arrived.

Points raised under any other business

Points raised at the end of a meeting, under any other business, are often recorded briefly and never scheduled. Ask about them by name.

Silence is not resolution

An issue that stops appearing in the minutes may have been settled outside the meeting, or forgotten. An answer can show that the record goes quiet; it cannot tell you which happened.

Cited first and last mentions

Ask across every meeting or narrow to one; Search+ traces each issue to the passages that mention it, so you can open the first and the most recent references.

What is an open issue in meeting minutes?

An open issue is a question, problem or proposal recorded in the minutes that the meeting did not resolve, whether it was deferred, left waiting on information or simply raised without a decision or action.

An open issue is not the same as an open action item. An action has an owner who is meant to do something; an open issue may have no owner at all, which is why it is easier to lose.

Open issue questions

Can Search+ build a list of open issues from our minutes?
Ask which issues were raised but not resolved and Search+ answers with a citation for each mention it finds. Treat the result as a starting list: an issue the minutes never mention again may have been settled elsewhere.
How does it tell open issues apart from open actions?
Ask about each separately. Questions about actions focus on named owners and due dates, while questions about issues focus on deferred items, pending information and concerns without an assigned task.
Can it find points raised under any other business?
Yes. Ask about items raised at the end of each meeting or under any other business; those notes are often short, and the citation shows exactly how little was recorded.
Will it notice an issue that was deferred several times?
Ask which items were deferred more than once. The answer cites each meeting where a deferral appears, so you can count them and read the reasons given.
Can I keep checking open issues as meetings continue?
Yes. Add each new set of minutes to the workspace and ask again; your workspace and earlier conversations persist, so you can set the new answer beside what you found before.
Does Search+ decide which open issues matter?
No. It helps you read and organize what the minutes record, with citations. Which unresolved issues need attention is for the group to decide, and Search+ is not legal or governance advice.
