Understand your PTO policy: how time off is earned, requested and kept
A PTO policy sets out how paid time off is earned, how you request it, when it can be used and what happens to an unused balance at year end or when you leave. Small details, such as whether time accrues per pay period or arrives at the start of the year, change how much you can take and when. Ask Search+ "How does PTO accrue, and how much can I carry over?" and open the cited policy to read the rule.

How to read a PTO policy with Search+
- Upload the handbook and any time-off supplements
Holiday calendars, sick leave policies and location supplements sometimes sit outside the main PTO section. Add the ones that apply to you, whether HR sent them as Word files or PDFs, so an answer can see them all.
- Ask about earning, using and keeping time separately
Ask how PTO accrues, then how requests are approved, then what carries over or is paid out. Each is often written in a different paragraph with its own conditions.
- Check tenure tiers and exceptions in the citations
Accrual often rises with years of service, and new hires may face a waiting period. Open the cited excerpt to read the tier that applies to you, and ask a follow-up about exceptions.
Questions to ask about a PTO policy
How many PTO hours do I earn each pay period, and does the rate increase with years of service?
Can new employees use PTO immediately, or is there a waiting period first?
How far in advance must PTO be requested, and who approves it?
Are there times of year when PTO requests may be limited or refused?
Is there a cap on how much PTO I can carry into next year, or a maximum balance?
What does the handbook say happens to unused PTO when employment ends?
What to look for in a PTO policy
Some policies build up time each pay period, some grant the full year's allowance at once, and some use a flexible or discretionary model without a fixed balance. The model shapes every other rule.
A PTO bank may combine vacation and sick time, or the handbook may keep them as separate allowances. Holidays are usually listed separately.
Policies often limit how much time can be carried over or how large a balance can grow. Rules about losing unused time differ by location, so check any supplement that applies to you.
Whether unused PTO is paid when employment ends depends on the policy and, in some places, on local law. Read what your handbook says and ask HR if it is unclear.
Ask Search+ to summarize the PTO section in a few points. The summary cites the policy passages it used, so you can open each one before planning time off.
Common PTO policy phrases and the question behind each
| Wording you may see | What it usually signals | A follow-up question |
|---|---|---|
| "accrues per pay period" | Time builds up gradually | What is the accrual rate for my length of service? |
| "front-loaded" or "granted annually" | The full allowance arrives at once | What happens if I leave mid-year after using it? |
| "maximum accrual" or "cap" | Accrual stops at a ceiling | What is the cap, and does accrual resume after I take time? |
| "carryover" | Unused time moves to the next year | How much can be carried over, and by when must it be used? |
| "subject to manager approval" | Requests can be refused | On what grounds can a request be declined? |
| "flexible" or "unlimited" time off | No fixed balance | How does the handbook say requests are judged? |
What is a PTO policy in an employee handbook?
A PTO policy is the handbook section that explains how paid time off is earned or granted, how employees request and use it, any limits on balances and carryover, and how unused time is treated when employment ends.
